What this sample covers
The editable Word sample follows a purchase from a documented request through approval, competition, supplier checks, purchase order, receipt and invoice hand-off. It includes roles, seven worked steps, controls, evidence and revision history. Replace bracketed fields and align thresholds with your delegation and purchasing policies.
Set the rules before the procedure
An SOP cannot invent authority limits. Link it to the approved delegation table, quotation thresholds, conflict policy, supplier due-diligence standard and emergency-purchase process. State who can approve a single-source exception and what evidence makes that exception valid.
Procurement controls worth keeping explicit
- The requester cannot approve their own purchase.
- No supplier commitment occurs before approval and a purchase order, except through a documented emergency route.
- Supplier identity and bank-detail changes are verified through an independent channel.
- Competition is documented or an authorised exception is retained.
- Receipt is confirmed independently before Finance matches and pays the invoice.
- Purchase order, quotes, approval, receipt, invoice and exception records stay linked.
Adapt the sample without making it vague
Name the system, form, responsible role, deadline and decision threshold in each step. Replace “obtain approval” with the exact approver and value band. Replace “check supplier” with the checks your risk policy requires. A new employee should be able to follow the procedure without relying on unwritten knowledge.
